Joint data controllers
As we are a clinic consisting of a number of independent companies, your personal data will be shared between us in order to ensure you receive the best possible treatment. All therapists at Hiklin therefore have access to information on all clients registered in Onlinebooq, and we have entered into a data processing agreement between us regarding the division of responsibilities between us.
Since all processors have access to the Onlinebooq system, we, Hiklin, are responsible for the processing of personal data by others in this system, and we have introduced terms in our data processing agreement regarding what individual companies/processors may register in the system, when information in the system must be deleted, and who and when may access information in the system.
When it concerns the processing of personal data elsewhere than through the common system, Onlinebooq, each processor is responsible for ensuring that your personal data is stored correctly. A processor is therefore responsible for ensuring that physical documents are stored in accordance with the General Data Protection Regulation.

We receive personal information in the form of name and email or telephone number of our clients if they wish to provide it, but this is not a requirement. We use the information to communicate with clients, including sending reminders, information about cancellations, changes or bookings of appointments and the opportunity for the client to ask us questions.
If a client consents to this, we use the client's email address to send newsletters with marketing content.
If a client creates a profile on Onlinebooq, the client must provide their name and mobile number or email, which will be used as identification when the client logs into their user profile in the future. The client can, if desired, write both their mobile number, phone number, name and email, but this is not required. The profile gives the client the opportunity to book new appointments themselves and see an overview of previous treatments.
The client can write information to us about their condition in the booking system (however, this is not archived electronically, but is deleted electronically immediately after receipt). |

Processing of personal data in connection with HR work is carried out in accordance with internal guidelines, which, among other things, set the framework for authorization and access management and logging. Personal data is stored in pseudonymized and encrypted form and transmitted encrypted.

2 The purpose and basis for processing your personal data
Hiklin only processes your personal data if we have a valid basis for processing.
The purpose of processing your personal data is to enable us to respond to inquiries from you and communicate with you when necessary, including contacting you if a therapist becomes ill, an appointment needs to be changed, cancelled, etc.
We only collect the information that is necessary to process your inquiry.
The basis for our processing of your information is with reference to the performance of a contract or as a result of our legitimate interest.
Newsletters
You can sign up for our newsletter by checking the box "Yes please - I would like to receive news and offers via SMS" or the box "Yes please - I would like to receive news and offers via email" when you book appointments online via our system, Onlinebooq.
You can also register by sending us a written request. We will not register you for our newsletter unless you have given your express consent to be registered.
The basis for our processing of personal data when sending newsletters is therefore based on your express consent.
Your consent can be revoked at any time by contacting us, or by clicking "unsubscribe newsletter" in each newsletter.
3 Disclosure
At Hiklin, we only disclose your information if it is necessary to safeguard your interests.
Your personal data is transferred to our system supplier, Onlinebooq, in accordance with a data processing agreement, and solely for the purpose of enabling our use of their systems.
In addition, your personal data is shared with our joint data controller, cf. also point 1.
4 Retention period – deletion of personal data
We only store your personal data for as long as we have a basis for doing so.
As a general rule, we do not delete information about current clients in the clinic, as the history is important for our future treatment.
Information on previous clients is deleted when it is no longer necessary, but no later than the current year plus 5 years after a client last had contact with us.
We delete the personal data we use in connection with sending newsletters when you withdraw your consent, unless we have another processing basis for storing the information.
5 Security
At Hiklin, we take good care of your personal data, and we have therefore implemented appropriate technical and organizational measures to ensure an appropriate level of security.
6 Your rights as a registered user
As a registered user, you have the right to be informed about what personal data we at Hiklin have registered about you.
As a registered person, you have the right to receive information about:
- What personal data we process about you
- What is our purpose for processing your personal data?
- Who we may disclose your personal information to
- How long we store your personal data or what criteria we consider when deciding how long your personal data will be stored
In addition, as a registered user, you have the right to:
- Have incorrect/incomplete information corrected (right to rectification)
- Have your personal data deleted (the right to be forgotten)
- Request that we restrict the processing of your personal data
- Gain insight into the information we have registered about you (Right of Access)
- Have your personal data moved (data portability)

Complaint
If you wish to complain about our processing of your personal data, you are very welcome to contact us. We take all inquiries seriously and are very concerned that our clients/users trust us and our processing of their personal data.
